Terms of Service

These Terms of Service ("Terms") govern your access to and use of RentalAnchor (the "Service"), a private property hub for organizing property items, maintenance history, expenses, reminders, and documents. By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
1. The Service
RentalAnchor lets property owners and operators record information about their properties, including items and equipment, service and expense history, vendor contacts, reminders, and uploaded documents such as receipts, manuals, warranties, and photos. The Service is provided for organizational and record-keeping support only and does not provide legal, tax, accounting, audit, compliance, or professional property-management advice.
2. Accounts
You must provide accurate account information and keep your sign-in credentials secure. You are responsible for all activity under your account. You must be at least 18 years old to use the Service.
3. Subscriptions and billing
- Paid plans are billed through our payment processor, Stripe, on a monthly or annual basis. We do not store your full payment card details.
- New workspaces include a free trial. When the trial ends, continued use of the Service requires an active subscription.
- You can change or cancel your plan at any time from your billing settings. Cancellation takes effect at the end of the current billing period; fees already paid are non-refundable except where required by law.
- Plan tiers include limits, including unit and storage limits. We may change pricing, storage allowances, or plan features with reasonable advance notice.
4. Your content
You retain ownership of the records and files you store in the Service ("Your Content"). You grant us a limited license to host, store, and display Your Content solely to operate and provide the Service. You are responsible for Your Content and must have the rights necessary to store it. You are also responsible for keeping independent copies of documents and records that are important for taxes, audits, insurance, legal matters, compliance, or other critical uses.
5. Prohibited use — no tenant data
RentalAnchor is built for property records, not people records. You must not use the Service to store tenant personal information, including tenant names, contact details, Social Security numbers, screening or background-check data, leases, rent payment records, or any other tenant files. You also must not use the Service for anything unlawful, to infringe others' rights, to upload malicious files, or to attempt to access another customer's data.
6. Data export and deletion
You can export your property records as CSV files at any time from the export settings. Deleting a file in the app removes it from your workspace and deletes the stored object from our file storage. If you want your account and workspace data deleted, contact us at our contact page and we will process the request within 30 days.
7. Availability and changes
We work to keep the Service available but do not guarantee uninterrupted operation, permanent availability, or that your records will always be accessible at a particular time. We may modify, suspend, or discontinue features with reasonable notice where practical. We may suspend or terminate accounts that violate these Terms.
8. Disclaimers
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including fitness for a particular purpose and non-infringement. The Service is an organizational tool, not your official system of record for legal, tax, accounting, audit, insurance, or financial compliance. You should not rely on the Service as your only copy of important receipts, documents, or records.
Smart Capture uses automated AI to read receipts and documents you submit. Its output can be incomplete or inaccurate, so you are responsible for reviewing and correcting any extracted details before you save or rely on them. Smart Capture scans are subject to monthly limits that vary by plan.
9. Limitation of liability
To the maximum extent permitted by law, RentalAnchor and its operator will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data. Our total liability for any claim relating to the Service is limited to the amount you paid us in the 12 months before the claim arose.
10. Governing law
These Terms are governed by the laws of the United States and the state in which the operator of the Service resides, without regard to conflict-of-law rules.
11. Changes to these Terms
We may update these Terms from time to time. If we make material changes, we will provide notice through the Service or by email before the changes take effect. Continued use of the Service after changes take effect constitutes acceptance.
